Detail Description

1. Abstract

Invoice and Purchase-Order Extraction is an AI-powered document-processing project designed to automatically extract important information from invoices and purchase orders. The system uses Optical Character Recognition (OCR), Natural Language Processing (NLP), and document-processing techniques to identify details such as invoice numbers, purchase-order numbers, vendor names, customer information, dates, item descriptions, quantities, prices, taxes, and total amounts. The extracted information is organized into structured formats for easier verification, record management, and integration with accounting or enterprise systems. This project aims to reduce manual data entry, improve processing efficiency, and minimize data-entry errors.

2. Objectives

  1. Automatically extract information from invoices and purchase orders.
  2. Identify vendor details, document numbers, dates, and payment information.
  3. Extract item descriptions, quantities, unit prices, taxes, and totals.
  4. Process digital PDFs, scanned documents, and supported image formats.
  5. Convert unstructured documents into structured data.
  6. Reduce manual data-entry effort and improve document-processing efficiency.

3. Existing System

Traditional invoice and purchase-order processing often requires employees to manually review documents and enter information into spreadsheets, accounting software, or enterprise resource planning systems. This approach can be slow, especially when organizations handle large volumes of documents.

Disadvantages

  1. Manual data entry consumes time and resources.
  2. Incorrect entries can lead to accounting discrepancies.
  3. Different document layouts make extraction challenging.
  4. Processing large numbers of documents increases workload.
  5. Comparing invoice details with purchase orders can be difficult.

4. Proposed System

The proposed system combines OCR, NLP, and structured data extraction techniques to process invoices and purchase orders. Users upload documents in supported formats, and the system extracts text, identifies relevant fields, and organizes the results into structured records. It can capture vendor details, document numbers, dates, line items, quantities, taxes, and total amounts. An optional validation module compares invoice information with the corresponding purchase order to flag differences in quantities, prices, or totals for human review. Extracted information can be exported to CSV or Excel for further processing.

5. Implementation Procedure

  1. Document Upload: Accept invoices and purchase orders in PDF, DOCX, JPG, or PNG formats as supported.
  2. Document Preprocessing: Improve image quality, correct orientation, and prepare scanned pages for processing.
  3. Text Extraction: Extract text from digital PDFs or use OCR tools such as Tesseract for scanned documents.
  4. Field Identification: Identify invoice numbers, purchase-order numbers, vendor names, dates, and payment details.
  5. Line-Item Extraction: Extract product descriptions, quantities, unit prices, taxes, and line totals.
  6. Data Structuring: Convert extracted information into structured records such as JSON, CSV, or database entries.
  7. Validation: Check required fields, verify arithmetic totals, and compare invoice details with purchase-order data when available.
  8. Interface Development: Build a user interface using Streamlit or Flask to upload documents and review extracted information.
  9. Testing and Evaluation: Test different document layouts and measure field-level extraction accuracy and validation performance.

6. Software Requirements

  1. Programming Language: Python
  2. Libraries: Pandas, NumPy
  3. OCR Tools: Tesseract OCR or EasyOCR
  4. Document Processing: PyMuPDF, pdfplumber, python-docx
  5. NLP Tools: spaCy or suitable transformer models
  6. Web Framework: Streamlit or Flask
  7. Database: SQLite, MySQL, or PostgreSQL
  8. Development Environment: VS Code, PyCharm, or Jupyter Notebook
  9. Operating System: Windows, Linux, or macOS

7. Hardware Requirements

  1. Processor: Intel Core i3 or equivalent and above
  2. RAM: Minimum 4 GB; 8 GB recommended
  3. Storage: At least 5 GB of available space
  4. Scanner or Camera: Optional for digitizing paper documents
  5. Internet Connection: Required for cloud-based OCR services; optional for local processing
  6. GPU: Not required for basic OCR; may benefit advanced document AI models

8. Advantages of the Project

  1. Automates invoice and purchase-order data extraction.
  2. Reduces repetitive manual data-entry work.
  3. Improves the consistency of document records.
  4. Helps identify missing fields and arithmetic discrepancies.
  5. Supports invoice-to-purchase-order matching.
  6. Enables structured data export for accounting workflows.
  7. Can be integrated with accounting and ERP systems.
  8. Provides practical experience with OCR, NLP, and intelligent document processing.
